1. Who we are

Macsi Ltd is responsible for the personal information described in this policy. We are a business support company registered in England and Wales, company number 08022370. Our registered office is 2 Viking Close, North Petherton, Bridgwater, TA5 2SS.

This policy covers our website, enquiries and newsletter. If we handle information on a client’s behalf as part of our services, the arrangements for that work are set out separately with the client.

2. Information we collect

  • When you contact us: your name, contact details, business details and whatever information you choose to include in your enquiry or correspondence.
  • When you subscribe: your email address, the page you signed up from, subscription and unsubscribe dates, and records of the newsletters sent to you and their delivery status.
  • When an authorised user signs in: account details, a securely hashed password, access permissions and session information.
  • When you use the website: technical information such as your IP address, browser, requested pages and access times may be processed by our hosting and security systems. Our analytics are explained below.

You can browse our public pages without signing up. Providing enquiry details or subscribing is your choice, although we need a way to contact you to answer an enquiry. Please avoid sending sensitive personal information or information about other people unless it is needed and you are authorised to share it.

3. Why we use your information

  • Answering enquiries and maintaining business relationships: our legitimate interest in responding to people who contact us and providing useful business support. If you ask us to take steps towards a contract with you personally, or we provide services under that contract, we rely on that contractual necessity instead.
  • Sending the newsletter: your consent, given when you choose to subscribe.
  • Operating and protecting the website: our legitimate interest in keeping the site available, managing authorised access, preventing misuse and understanding how our content is used.
  • Keeping required records: compliance with legal obligations, including applicable accounting and tax requirements. We may also keep relevant correspondence where necessary to establish, exercise or defend legal claims.

Where we rely on legitimate interests, we consider your privacy and use only information needed for the purpose. We do not make decisions about you with legal or similarly significant effects using automated processing.

4. Our newsletter

Subscribing means you would like to receive Macsi’s news and business support updates by email. Sending us an enquiry does not automatically subscribe you. You can withdraw your consent at any time using the unsubscribe link in each newsletter or by emailing us. Withdrawal does not affect the lawfulness of emails sent before you withdrew consent.

Our newsletter system records delivery status so we can manage sending and investigate errors. It does not add email-open tracking pixels or rewrite links to track your clicks. We keep a record of unsubscribe requests to help respect your preferences.

5. Cookies and login sessions

The website uses first-party cookies to maintain a session and protect forms and sign-in requests against misuse. These include a session cookie and an XSRF-TOKEN security cookie. Their usual lifetime is two hours, refreshed while you use the site. If an authorised user chooses “Remember me”, a longer-lived sign-in cookie is also stored until it expires, is removed or the user signs out.

These cookies support website functionality and security. We do not use advertising cookies. You can remove or block cookies through your browser settings, but sign-in and interactive forms may then stop working.

6. Fathom Analytics

We use Fathom Analytics to understand overall website activity, such as which pages are visited and where visits come from. Fathom does not use cookies. Its service temporarily processes technical request information, including an IP address and browser information, to produce analytics; the reports we receive do not identify individual visitors.

7. Who receives information

Members of our team who need the information may access it. We also use providers for website hosting, maintenance, security and email delivery. They receive the information needed to provide those services. Fathom’s analytics processing is described above. We do not sell personal information or share our mailing list with other businesses for their own marketing.

We may share relevant information with professional advisers or public authorities where necessary to comply with the law or deal with a legal claim.

Some providers may process information outside the UK. Where this is a restricted international transfer, it needs an applicable UK adequacy arrangement or appropriate safeguards, such as approved contractual protections. Contact us for details of the providers, processing locations and safeguards relevant to your information.

8. How long we keep information

We keep enquiry correspondence for as long as it is needed to respond, complete any follow-up and retain an appropriate record of the discussion. If you become a client, relevant correspondence becomes part of our client records. Legal record-keeping requirements and the need to address outstanding complaints or claims may require us to keep particular records longer.

We keep newsletter subscription and delivery records to manage your subscription, document your choices and resolve sending problems. After you unsubscribe, we retain a record of that preference to prevent unwanted emails. We review whether other associated information is still needed.

Account, session and technical records are kept according to their purpose: maintaining authorised access, resolving faults and investigating misuse. The factors we use to decide retention are whether the purpose is complete, whether there is an active issue, and whether a legal obligation or claim requires a record. Information no longer needed should be deleted or anonymised; copies in backups are removed as those backups are replaced.

9. Your choices and rights

Depending on the circumstances, you can ask to see your personal information, correct it, have it erased, restrict how it is used or receive a portable copy. These rights have conditions and exceptions; for example, some records may need to be retained to comply with the law.

You can object to processing based on legitimate interests because of your particular situation, and you can object to direct marketing at any time. You can also withdraw newsletter consent at any time.

10. Other websites and updates

Links to social networks, maps and other websites take you to services operated by other organisations. Their own privacy notices apply when you use them.

We may update this policy as our website or working practices change. The date at the top shows the latest update. Where a change materially affects how we use information, we will provide additional notice where required.
